Outlook Calendar integration

Save time by importing your work events into your Timeneye dashboard in a few clicks.

In this article, you will learn how to:

  • link your Outlook Calendar account to Timeneye

  • track time from Outlook Calendar

Just like with Google Calendar, this integration automatically imports your Outlook Calendar activities as suggested entries in Timeneye, so that you can track your time for your daily meetings and events.

Link your Outlook Calendar account to Timeneye

Once you are in the Dashboard, click the Link Calendar blue button and select the Outlook Calendar option.

To proceed, you need to grant permission and select the calendar you would like to sync.

How does it work?

The previously created events in your Outlook Calendar will be automatically added to your Dashboard as daily Suggested Entries – they will appear in a light blue box at the top of every day.

You should see your suggestions appear automatically after a few minutes, but if that is not the case, just refresh the page.

Important: Timeneye imports events up to 30 days before the sync, so any activity scheduled in your calendar earlier than one month ago will not be visible.

You can acceptedit, or delete the suggested entry by hovering on each card.

Once you have your calendar linked to your Timeneye workspace, the changes in one platform are instantly reflected in the other, so you have your suggestions always up to date.

Another way to link Outlook Calendar to Timeneye:

1) Access the Integrations section of your account and select the Outlook Calendar integration.

2) Click on Link Outlook Calendar to your User.

3) Select or add an Outlook account.

4) You will be asked to give Timeneye permission to access your Outlook Calendar data. Just click on Accept to link Outlook Calendar to Timeneye.

5) At the end of the procedure, an on-screen message will notify you that Outlook Calendar has been successfully synchronized.

Pro tip: Adding a “Meetings” phase to your projects will make monitoring weekly and monthly time spent on meetings extremely easy.

Every time you make a change, Timeneye will sync this update automatically. That means your reports will always show the freshest data.

Private events

If your calendar is a mix of private and professional appointments, we have you covered!

Inside the Outlook Calendar settings is a section called Synchronization settings, where you can enable (or disable) the sync of your private appointments.

Disabling this option will not sync future private appointments but will not delete already imported ones.

By enabling the Pre-selected projects for imported events feature, your time entries will be automatically filled with the appropriate project and phase, saving you precious time. However, if you prefer to personally ensure that all your entries are associated with the correct project, you can choose to leave this feature disabled and manually fill in the entry details.

Ignore recurrent events

If you delete one of the suggested entries that correspond in your calendar to a recurrent appointment, such as a daily meeting with the team, Timeneye will ask you if you would like to ignore only that specific occurrence or disable the recurrent event for the future.

This could save you time and energy, so you don’t have to keep removing the same event from your entries every time it appears.

How to unlink the calendar:

You can unlink your calendar by clicking on the Outlook Calendar icon at the top of your Dashboard page or from the Integrations page in the Outlook Calendar section. In both cases, you will be presented with a setting panel where you will see the red “Unlink Outlook Calendar” button.

Legacy:

If you are used to the old layout, and you like it better, you can keep using it.

From your Profile section, click on App & User settings and scroll down until you see the part dedicated to “Suggestions.” Here you can enable the old suggestion style by using the toggle.

 MS Teams Calls duration on an Outlook Calendar event

If you connect the Outlook Calendar integration, you will automatically receive event suggestions retrieved from your Outlook calendar. If the event is a call or video call, our integration automatically updates the event with the duration from Microsft Teams.

 

For example: the user "Lou" has an event on their Outlook calendar called "Design Brief," once the Teams meeting finishes, Lou will see the event's duration updated to reflect the actual duration of the call, thanks to the Microsoft Teams calls integration.
